Operations Director Position

Successful candidate will be a motivated, independent, and flexible worker. Case management is a plus and occasional evenings and weekends will be required. 

 

Professional Qualifications:

  • Understanding of nonprofit principles and best practices

  • Demonstrated experience overseeing technology systems

Full Job Description:

The Operations Director is responsible for the day-to-day management of operations, including but not limited to: administrative duties; financial and accounting functions; client relations; facilities management, volunteer management, and marketing/public relations activities. 

Administrative:

  • Oversees the organization’s operational policies, objectives, and initiatives

  • Responsible for evaluating current and proposed operational and administrative systems and procedures, determining and implementing changes as necessary to increase efficiency within the organization

  • Manages technology services, records, and software

  • Executes daily administrative duties, including client application review, responding to general inquiries by phone and e-mail, filing, etc.

  • Assists the Executive Director with Grant Applications when needed, including grant writing, data collection, and interviews

  • Assists the Executive Director and Board of Directors with long-range strategic planning and annual goal setting

  • Assists the Executive Director in the planning, coordination, and implementation of events, meetings, and training

  • Manages volunteers and interns when needed

Financial/Accounting:

  • Responsible for daily financial functions, including generation and dissemination of invoices, processing of invoices and receipts, preliminary approval of expenditures and reimbursements, execution of bank deposits, and management of client and vendor information

  • Assists with the planning and preparation of the Annual Operating Budget

  • Generates monthly, quarterly, and year-end financial reports for review and approval by the Executive Director and Board of Directors

  • Manages filing of year-end tax documents through external accountant

  • Maintains a Giving Log and provides year-end Giving Statements to financial supporters of Abigail’s Place

Client Relations:

  • Reviews all Client Applications for Assistance

  • Interviews potential clients for placement in Shelter or other offered services

  • Provides references for external services and serves as a liaison between clients and partner organizations

  • Builds and maintains professional relationships with partner organizations, other non-profit agencies, and community groups to provide wrap-around services as well as collectively work to implement new strategies and programs for a wider-reach

  • Works with Shelter clients on temporary placement, case management of action steps, and transition to permanent housing

  • Maintains communication with past Shelter clients to ensure continued self-sustainability, and connects them to community services as needed

Facilities Management:

  • Responsible for management of Shelter facility, including scheduling vendors, payment of utilities and contractors, etc.

  • Ensure that the Shelter is properly cleaned and stocked ahead of new client placement

  • Ensure that the Shelter is functioning properly with regards to appliances, A/C, smoke detectors, etc., and schedule repairs as needed

  • Schedule and oversee workdays as needed for routine maintenance and cleaning

  • Provide Shelter tours to partner agencies upon request

Volunteer Management:

  • Oversees volunteers and coordinates scope of projects to ensure successful completion

  • Manages external volunteer groups, such as Friends of Abigail’s Place Facebook page, to communicate Shelter needs and coordinate donations and volunteers when needed

  • Maintains volunteer lists and records, such as Waiver of Liability forms

Marketing, Communication, and Public Relations:

  • Produces Abigail’s Place Newsletter

  • Responsible for website updates, social media posts, marketing brochures, information sheets, and press releases

  • Responsible for marketing materials and promotion of annual events, such as Gala and Building Hope Tournament

  • Represents Abigail’s Place at community meetings, festivals, and expos
